Description:
The Marketing Events and Travel Coordinator will serve as part of the Marketing Events Team, assisting in the planning, coordination, and implementation of the firm’s digital events strategy and helping administer the firm’s travel program.
The Marketing Events and Travel Coordinator will work alongside business development professionals to coordinate and produce digital events from inception to completion, as well as work directly with the Senior Manager of Events and Travel Services to champion the firm’s global travel program.
Key Responsibilities Include:
In conjunction with the firm’s marketing and business development professionals and events team members, help develop and deploy the firm’s digital events strategy;
Coordinate all digital and virtual events logistics, including scheduling and conducting speaker rehearsals; collecting, uploading, and testing all PowerPoints and other events-related materials on the firm’s digital events platform; preparing regular communications and analysis to events, marketing, and business development professionals on registration numbers and all pre- and post-event-related data; supervises and produces all digital and virtual events, including facilitating questions and answers with attendees and serving as lead digital events timekeeper and troubleshooter;
Help create and deploy strategies and plans to ensure a great user experience for attendees of the firm’s digital and virtual events;
Coordinate and develop Cvent registration pages and mobile apps for the firm’s annual meetings;
Assist with the successful and effective management of the firm’s travel program, including developing and disseminating communications related to the travel program; liaise with the firm’s Travel Management Company; help manage the relationships with the firm’s approved airline, hotel, and car suppliers; and assist with analyzing performance-related data for all travel metrics to ensure optimal supplier performance; and
Work closely with the Senior Manager of Events and Travel Services to develop and deploy communications and plans that help the firm meet its strategic goals as they relate to the travel program, including communicating with new hires to onboard them on the firm’s travel platform, monitoring all unused airline tickets and preparing messaging to encourage the use of unused tickets, facilitating training and communications related to the use of the firm’s online booking tool, and assisting with the firm’s annual bid process for its hotel program.
Special projects and additional duties as assigned.
Qualifications:
2-3 years of digital events experience, law firm or other professional services experience preferred
In-depth knowledge of virtual and digital events planning and logistics, preferably with experience using ON24 and other event management platforms (such as Cvent and Zoom Webinars)
Familiarity with the corporate travel industry
Strong communication and organizational skills
Attention to detail
Strong problem solving skills
Excellent project management skills and capable of working well under pressure in a fast-paced, deadline-driven environment
Proficiency in Microsoft Office (Word, Excel, PowerPoint) required; experience using InterAction preferred
Flexibility to work early mornings, late evenings, and weekends when necessary
Strong sense of accountability and ownership of projects
Ability to work both autonomously when executing digital events and as part of a team on general strategy
Minimum Education:
Bachelor’s degree required
This position may be filled in New York City, Colorado, or California. In accordance with the New York City Human Rights Law, the Colorado Equal Pay Act, and the California Pay Transparency Law, the pay range for this position in New York City is $62,100-$93,100, in Colorado is $54,300 - $81,500, and in California is $59,500 - $97,100. These ranges are specific to these three locations and may not be applicable to other locations. An individual's actual compensation will depend on the individual's qualifications and experience.
