Steptoe & Johnson LLP, a Washington, DC-based Am Law 100 law firm, is seeking a Billing Analyst to join its Accounting & Finance Department. This position may be based out of our Chicago or Washington, DC office.

The Billing Analyst will provide accurately edited and prepared invoices for clients and to ensure the accuracy of all client accounts. To communicate daily and provide efficient, professional service to the attorneys and other staff members in a fast-paced, deadline driven environment.

Responsibilities
  • Set up and maintain clients in various E-Billing systems
  • Assign, set up and maintain timekeepers. Change budgets, convert year, update titles and levels annually
  • Generate various weekly and monthly reports, including Deputies, Missing Time, TKbreak, Greensheet, Work Effort
  • Run and collate Proformas
  • Compile and distribute Proformas to Billing Attorneys/Secretaries, maintains accurate up-to-date status log of Proformas and bills
  • Prepare bills for attorneys using Elite system, transfers of time and costs, reviews A/R, Retainer and Unapplied cash, process bills to A/R
  • Researches Proformas or bill related inquiries
  • Follow-up with Billing Attorneys and Secretaries to ensure timely processing of bills
  • Efficiently and accurately researches and resolves unapplied retainers, unapplied cash and anticipated disbursements on accounts
  • Follow-up with partners, secretaries and other legal personnel to ensure invoices have been sent to client and copies have been returned to Accounting
  • Monitor Proformas. Take initiative to address unresolved items on client accounts, including but not limited to retainers and outstanding invoices
  • Coordinate with Cash Receipt Staff to ensure accurate applications of cash and write-offs
  • Work with G/L staff/manager to ensure proper financial effect of all billing functions
  • Perform as a productive team member, as well as independently; communicates with and assists Billing Analysts and other staff as required to meet all deadlines
  • Complete Billing within twenty-four to seventy-two hours of receipt of Proformas; including but not limited to, accurate edits and transfers of time and expenses
  • Maintain client billing files in accordance with Department policies
  • Responsible for all reconciliations as assigned
  • Assist with all aspects of timekeeper/rate maintenance, time batch processing and missing time updates
  • Manage multiple tasks, requests, etc., efficiently and accurately providing appropriate follow-up to individuals involved
  • Manage e-mail/voice mail; respond to all correspondence within 8 business hours.
  • Coordinate with your assigned Partner/Secretary any leave or vacation
Qualifications
  • College degree preferred
  • Minimum of 3-5 years of billing experience in a professional, organized environment

Work Environment

  • Must be available to work beyond regular days and hours
  • Must be able to work under tight deadlines and in stressful situations
  • Available to work 9:00 a.m. – 5:30 p.m. Monday through Friday and available for some evening and/or weekend hours
